AREA OF CONSIDERATION:

US Citizen in the local commuting area that are: current permanent NAF/APF employees, spouses or family members of Active Duty Military members, or spouses or family members of DoD Civilian Employees.

 

INTRODUCTION:

This position is located within Naval Station, Rota, Spain, Fleet Readiness Program. The purpose of the position is to perform and coordinate various administrative functions of the assigned installation office.

 

DUTIES:

 

Performs administrative functions of the assigned office. Prepares letters, notices and memoranda in an accurate and timely manner using the approved Navy Correspondence procedures. Evaluates, prioritizes and facilitates the flow of work into and from the other offices which may include, but is not limited to verification of IMPAC credit card statements; product research, logging and tracking BPA’s and purchase orders, preparation of APF and NAF purchase requests, scheduling of training, management timekeeping, etc. reacts to emergent needs and makes adjustments to assignments to meet operational needs. Evaluates filing systems, ensures filing is timely and accurate and initiates changes in processes to enhance data and document storage and retrieval. Data entry, spreadsheets, use of MIS like SAP or Kronos or other databases which may include, but is not limited to: assigned employees, safety and other mandatory training. May assist with oversight of physical assets. Files documents into an established system or creates new filing system as required. Maintains suspense file for pending items and initiates follow-up action when necessary. Routes incoming mail, reports and documents. Transfers documents between offices, may personally deliver time sensitive and other routine documents directly to FRSC, Regional NAF Human Resources or other navy facilities as necessary. May direct the work and assist in the training of lower level assistants.

 

 

KNOWLEDGE REQUIRED BY THE POSITION:

 

Must have a minimum 2 year’s documents experience in administrative functions, to include: excellent typing skills, and use of a personal computer for word processing, spreadsheet, and data entry. Experience with Microsoft Word, Excel, Access and PowerPoint strongly preferred.

 

Must possess a thorough knowledge of English grammar, spelling, capitalization, and punctuation. Must be familiar with pertinent accounting procedures, billing processes, purchasing and requisitioning procedures. Must be familiar with document filing and retrieval systems, and have the ability to accurately maintain filing systems.

 

Must possess excellent written and verbal communication skills. Must be able to complete finished reports and/or presentations with a minimum of corrections. Must possess excellent personal and customer service skills, and be able to provide changes to procedure and new requirements to a variety of management and support staff in a positive manner. Previous NAF/APF experience preferred.

 

 

CONDITIONS OF EMPLOYMENT:

 

  • This position requires successful completion of: physical examination, Local Background Investigation and NACI Background.

  • Selected applicant will NOT lose any entitlement for future spouse preference eligibility (NAF/GS positions)

  • The incumbent will be required to work nights, weekends, holidays and split shifts

  • Selected is subject to direct deposit of pay

  • Persons who are US Citizens and persons who are US Citizens and also citizens of Spain are not employable in a US Position.

  • NATO SOFA and Agreement on Defense Cooperation (ADC) between Spain and the United States are applicable when determining eligibility.
